Employee Self-Service (ESS) Path

Welcome to Ligo HRM! This guide walks you through everything as an employee - from activating your account, completing your profile, and uploading documents, to logging time, applying for leaves, and completing your performance review.


Prerequisites

Before starting, you must receive an activation email from your HR administrator.


Employee Workflow

Step 1 - Activate Your Account

Your HR team will send you an activation email to your official work email address.

  1. Open the email and click the Activate Account link
  2. You’ll be taken to the Reset Password page
  3. Enter a strong password (confirm it in both fields)
  4. Click Set Password - you’re now logged in

Step 2 - Complete Your Profile

Once logged in, navigate to My Profile and fill in:

Documents TabUpload required compliance documents (Aadhaar, PAN, Passport, etc.)

Your name, email, employment type, department, and location are set by HR and cannot be changed by you directly.


Step 3 - Upload Your Documents

Navigate to: My Profile → Documents Tab → Upload Document

  1. Select the Document Type (e.g. Aadhaar Card)
  2. Choose your file (PDF, JPG, or PNG - maximum 10 MB)
  3. Enter the document number and expiry date
  4. Click Upload

Your document will show as PENDING until HR verifies it - this is normal. You’ll be notified once it’s approved or if a correction is needed.


Step 4 - Understanding the Dashboard

After logging in, your dashboard shows:

Daily Workflows

Clock In / Clock Out

Navigate to: Attendance → Check In / Out

  1. Allow location access when prompted
  2. The app shows your position relative to the office geofence boundary
  3. Click Check In when you arrive
  4. Click Check Out when you leave

If your punch is flagged (outside the geofence), submit a Regularization Request to correct your attendance.


Request a Regularization

If you forgot to punch or had a technical issue:

Navigate to: My Attendance → Request Regularization

  • Enter the affected date, your actual check-in and check-out times, and a reason
  • Your manager receives the request for approval
  • Once approved, your attendance is automatically corrected to PRESENT

Apply for Leave

Navigate to: Leaves → Apply for Leave

  1. Select the Leave Type (e.g. Earned Leave, Sick Leave)
  2. Pick your Start Date and End Date - the calendar shows available working days
  3. Toggle Half Day if you only need part of a day
  4. Enter your reason
  5. Click Submit

Your available balance is shown before you submit. The leave is deducted from your balance only after approval.

Track your requests under My Leaves.


Request Work from Home (WFH)

Navigate to: My Attendance → Request WFH

  • Select one or more dates
  • Enter your reason
  • Submit - your L1 manager will approve or reject

Once approved, you can punch in without geofence verification on those days.


Request On-Duty

For official travel, conferences, or client visits:

Navigate to: My Attendance → Request On-Duty

  • Select the On-Duty type (e.g. Client Site Visit)
  • Enter the date range, location, and reason
  • Optionally attach a supporting document (invitation letter, etc.)

Once approved, those dates are automatically marked as PRESENT.


Log Timesheet Hours

If you’re assigned to projects, log your daily hours:

Navigate to: Timesheets → Log Time

  1. Select the Project from your assigned projects
  2. Pick the Date (must be today or in the past)
  3. Enter the Hours worked
  4. Add a brief Description of what you did
  5. Check or uncheck Billable based on the work type
  6. Click Save (saves as DRAFT)

When ready for manager review, click Submit on the draft entry.


Submit an Expense Claim

Navigate to: Expenses → New Claim

  1. Give your claim a descriptive title
  2. Choose scope: GENERAL or PROJECT
  3. Add line items (category, amount, currency, date, description)
  4. Attach receipts where required
  5. Click Submit - your manager receives it for approval

Track claim status under My Expenses.


Performance & Goals

Complete Your Self-Review

When an appraisal cycle is active, you’ll see a notification to complete your self-review.

Navigate to: My Reviews → Active Review

  • Rate yourself on each KPI (1–5 scale)
  • Add honest comments on what you achieved
  • Write an overall self-summary
  • Click Submit Self-Review

After your manager scores the review, you’ll receive a notification to acknowledge the result.


Track Your Goals

Navigate to: My Reviews → My Goals

  • View goals set by your manager
  • Click on a goal to update your progress percentage (0–100) and add notes
  • Track multiple goals with different priorities and deadlines

Managing Notifications

The bell icon in the top navigation bar shows all system notifications:

  • Leave request approved / rejected
  • Expense claim approved / returned
  • Timesheet returned with comments
  • Regularization request decision
  • Document verification status

Click Mark All as Read to clear the unread count.


Getting Help

If something isn’t working or you’re unsure about a step:

  1. Contact your HR Admin - they can check your profile, policies, and approvals
  2. Check this Help Center - use the sidebar to navigate to the relevant module guide
  3. For technical issues - contact your IT administrator
